AI USAGE POLICY

The potential of using artificial intelligence (hereinafter referred to as AI) technologies is recognized as an integral part of the modern world, transforming science, increasing the efficiency of research and automating routine processes.

The policy " Visnyk of V.N. Karazin Kharkiv National University. Series Еcоlogy " on the use of artificial intelligence aims to establish a clear, transparent and ethical framework for the use of AI technologies in scientific research and prevent the uncontrolled use of generative models with risks to academic integrity, critical thinking and information security.

The use of AI is based on the following principles

  1. The principle of equal access. When choosing tools, scientists are recommended to give preference to programs and services that offer free or preferential access to higher education institutions.
  2. The principle of transparency and academic integrity. Any use of AI in scientific research should be open. Authors of publications are required to declare the use of AI tools, indicating the purpose, tools and volume of generated content. Concealing the fact of using AI is considered a violation of academic integrity.
  3. Principle of responsibility. AI is a tool, not a subject of the scientific process. Responsibility for the accuracy, reliability, ethics and quality of any work created using AI lies exclusively with its author.
  4. Principle of data protection. In order to comply with the requirements of the Law of Ukraine "On the Protection of Personal Data" and the protection of intellectual property rights, interaction with public AI systems should exclude the transfer of such information as research data until their official publication, and the use of the above-mentioned data in queries to AI is permissible only if they are previously completely depersonalized.
  5. Principle of critical evaluation. Authors using AI should be critical of the results of generation, aware of the risks of "hallucinations", bias and data obsolescence. Verification of facts and references provided by AI is mandatory.

Academic integrity and the consequences of undeclared use of AI.

Undeclared use: if the author of using AI submits a work that is fully or partially generated by AI without a corresponding declaration, this qualifies as academic plagiarism or fabrication.

−  We recognize that the available technical means of detecting AI are not perfect and may give false positive results. Therefore, the detector report cannot be the only evidence of a violation of academic integrity. The final decision on the integrity of the use of AI detected by the detector is made for articles in scientific periodicals and collections of scientific works by the editorial board of the scientific periodical (collection of scientific works);

Recommendations for the use of AI.

− for translation and analysis of scientific materials in foreign languages, which contributes to deeper research of the topic and expansion of the source base;

− for searching, systematizing information on the research topic and abstracting scientific publications on the research topic within the subject area. This allows to speed up the processing of large volumes of literature, but requires mandatory verification of the correctness of references to primary sources;

− for analyzing large volumes of data, identifying non-obvious patterns, correlations and forming primary hypotheses, especially in interdisciplinary research. In this case, confirmation of the obtained results by traditional scientific methods is mandatory;

− for performing technical tasks: formatting lists of literature according to publication standards, stylistic editing of texts, translation of scientific works into foreign languages, construction of a semantic network of the subject area of research, creation of illustrations and visualization of data (graphs, diagrams, figures), etc.;

− to search for analogues and prototypes when creating inventions or utility models, by analyzing the database and publication;

− for critical analysis of one’s own scientific texts: searching for logical errors, weak arguments, assessing the novelty of ideas, etc.;

− to analyze the manuscript for automatic (unconscious) repetition of fragments of the author’s text that were published earlier, in order to comply with the requirements of academic integrity.

The technical editor of “Visnyk of V.N. Karazin Kharkiv National University. Series Еcоlogy” may check scientific articles for the likelihood of using AI using appropriate technical means of detection (detectors).

We recognize that the available technical means of detecting AI are not perfect and may give false positive results. Therefore, the detector report cannot be the only evidence of a violation of academic integrity.

The final decision on the integrity of the use of AI in the article detected by the detector is made by the editorial board of “Visnyk of V.N. Karazin Kharkiv National University. Series Еcоlogy”.

Declaration on the use of artificial intelligence

Successful publication depends not only on the scientific quality of the article, but also on how ethically, transparently and correctly the author uses AI.

When the declaration is mandatory:

  1. if AI was used to edit the text.
  2. If AI helped in structuring or summarization (the process of concisely conveying a large amount of information, retaining only key facts and main ideas, which helps to quickly understand the essence of long scientific works without wasting time reading the entire material).
  3. If AI was used at any stage of analysis, work with data or images.

Where to place the declaration: in the Methods section - recommended for technical description, in our journal after the Conflict of Interest section.

Template 1. (minimal use of AI: (language editing)  “The authors used ChatGPT-5.1 (OpenAI, 2025) solely for language editing and grammar correction. All scientific content, interpretations, and conclusions were generated by the authors. The final text was reviewed and verified by the authors”

Template 2. (AI helped to structure or summarize the text). Generative AI tools (ChatGPT-4, OpenAI, 2025) were used to summarize background literature and improve the organization of the manuscript. No AI-generated text was used without critical editing. The authors take full responsibility for the accuracy and integrity of the content.

Template 3. (AI in data processing or data analysis). AI tools (Gemini Advanced, 2025) were used for preliminary data classification. All datasets were generated by the authors, and all analyses were verified manually. No synthetic or AI-generated data were used.

Template 4. (AI tools were used in the preparation of this manuscript). All usage was limited to language editing and organizational support. The authors remain fully responsible for the content, data and conclusions.
